Privacy Policy

Current public app reviewed: Smart Driver Forms Android version 1.0.0+5. Development features that are not available in that public release are identified separately below.

Smart Driver Forms respects your privacy and is committed to handling personal information responsibly. This Privacy Policy explains what information the current public Smart Driver Forms app and website use, why that information is used, how it is stored, and what happens when you delete your account.

1. Information You Provide

Smart Driver Forms may store account and driver-profile information you provide or that is associated with your account. This can include your email address, name, Driver ID, company or carrier name, phone number when present in your profile, default tractor number, driver type, and acknowledgments recorded by the app.

Your email address is used as your Smart Driver Forms login identity. It is also used for account confirmation, authentication, and password-reset services.

2. Trip, Mileage, and Form Information

The public app stores information you enter for driver workflows. Depending on the form or trip, this can include load and pay dates, Driver ID, tractor and trailer information, order numbers, bill of lading numbers, seal numbers, trip events, customer or location names, cities and states, arrival and departure times, expenses, delay information, notes, and mileage totals such as beginning, ending, actual, and paid miles.

Smart Driver Forms may also create and store finalized trip-sheet PDFs and related document information.

3. Local Device Storage

Smart Driver Forms stores certain information on your device so the app can operate normally and support local/offline workflows. Account-specific local storage can include draft trip data, finalized-trip files and metadata, driver settings, and other app state.

Account-specific files are stored separately by account. Some device-wide preferences, such as the selected app theme, may remain on the device independently of a particular account.

4. Server Storage and Synchronization

Smart Driver Forms uses Supabase-based backend services for account authentication, database storage, synchronization, and protected document storage. Account, profile, trip, mileage-related, and document information may be sent to and stored through those backend services when the app synchronizes data.

Synchronization helps make authorized account information available across supported devices and helps preserve records if local device data is lost.

5. Finalized Forms and Documents

Finalized trip forms and related documents may be retained by Smart Driver Forms as historical business records. Information contained in a finalized form or document can remain with that record even after the active login account is later deleted.

Finalized PDFs are stored in protected backend storage rather than being published as public files.

6. Access to Account Records

Normal driver accounts are restricted to their own account-specific records through authenticated database and storage access controls.

Authorized Smart Driver Forms administrators may have controlled read access to driver profiles, trip records, document information, and finalized PDFs when needed for administration, support, or operation of the service.

7. Passwords and Authentication

Smart Driver Forms uses authenticated account services to sign users in and to send account-confirmation and password-reset messages. Password-reset links are sent to the email address associated with the Smart Driver Forms account.

Do not send your password to Smart Driver Forms Support by email.

8. Account Deletion

You may delete your Smart Driver Forms account from within the app. The current account-deletion process removes the active authentication account and driver-profile information, removes registered-device records associated with the account, and removes account-linked support requests from the app backend.

Account-specific local files stored inside the Smart Driver Forms account directory on that device are also removed as part of the in-app deletion process. Device-wide preferences, such as the app theme, may remain because they are not stored as part of the deleted account directory.

Account deletion does not automatically delete retained trip forms, finalized documents, or other historical business records stored by Smart Driver Forms.

9. What Remains After Account Deletion

Smart Driver Forms keeps a permanent internal historical owner identifier so retained trip, form, and document records can remain connected to their historical owner record after the login account is deleted.

The deleted account's real email address is removed from that historical owner record and replaced with a non-deliverable deleted-account placeholder. The active driver profile is removed. Account-related audit history is de-identified by removing direct user references and free-form audit details associated with the deleted account.

Information already contained inside a retained trip form or finalized document may remain because it is part of that historical business record.

10. Support Requests

If you contact Smart Driver Forms for support, the information you provide may be used to investigate and respond to your issue. Support messages can contain personal information if you include it.

Account-linked support requests stored in the Smart Driver Forms app backend are deleted by the current in-app account-deletion process. Email messages sent outside the app may be handled separately by the email service used to receive and respond to those messages.

11. Printing, Saving, and Sharing

Smart Driver Forms may allow you to print, save, export, open, or share forms and documents. These actions are initiated by you.

Once you send or save information outside Smart Driver Forms, that copy may be handled by the receiving application, service, person, printer, or storage location under their own privacy and security practices.

12. Location Permissions

The Android package for version 1.0.0+5 declares coarse and fine location permissions because location-assisted Smart Parking suggestion code is bundled in the application. Smart Parking is disabled in the current public release, so that location-assisted Smart Parking workflow is not available to public users in version 1.0.0+5.

The currently available Smart Driver Trip Sheet and Smart Mileage Recap workflows do not require continuous location tracking. Smart Driver Forms does not continuously track your physical location in the current public release.

If a location-assisted feature is released publicly later, the app may request location permission at the time that feature is used, and this Privacy Policy will be reviewed for any needed update.

13. Contacts, Camera, and Microphone

The current public Smart Driver Forms workflows do not require access to your contacts, camera, or microphone for normal operation.

14. Advertising and Analytics

Smart Driver Forms does not currently display third-party advertising in the app or public website. The current public app does not include third-party advertising SDKs or third-party analytics services used to track users for advertising purposes.

If advertising, analytics, or materially different data-collection technology is added in the future, this Privacy Policy will be reviewed and updated as appropriate before those changes are treated as current public behavior.

15. Website Hosting

The Smart Driver Forms public website is delivered through Cloudflare-hosted infrastructure. Like other web-hosting and network services, the hosting provider may process technical request information needed to deliver and protect the website. Smart Driver Forms does not currently add its own advertising or behavioral-analytics tracking to the public website.

16. Security

Smart Driver Forms uses account authentication, database access controls, protected document storage, and account-specific access rules intended to prevent ordinary driver accounts from reading another driver's protected records.

No electronic storage or transmission system can be guaranteed to be completely secure. Smart Driver Forms works to use reasonable safeguards appropriate to the information being handled.

17. Children

Smart Driver Forms is designed for professional drivers and other users of driver-form services and is not intended for children. Smart Driver Forms does not knowingly design its services for the collection of personal information from children.

18. Changes to This Privacy Policy

Smart Driver Forms may update this Privacy Policy as the application, website, services, or legal requirements change. When material changes are made, the effective date at the top of this policy will be updated.
